Timesheet Instructions

All employees on assignment must provide a completed company timesheet on a bi-weekly basis. An electronic copy of the timesheet is provided, as appropriate, with each new employment package, whether released electronically or via mail. In the event a client requires Absolute Consulting employees to use a site-specific timesheet, employees should follow client instructions for accurate and timely completion.

All completed / approved employee timesheets must be faxed (or available, in some cases) to the Absolute Consulting corporate office no later than 11 a.m. CT / noon ET each Payroll Monday to avoid delays in receiving pay. Paper timesheets should be faxed to 954.239.1893 or emailed to Payroll@ConsultAbsolute.com.

Regardless of the timesheet format used, the below listed information should be included:

  • Site Name
  • Employee Name
  • Week Ending Date
  • Number of Hours Worked Each Day (Regular and Authorized Overtime)
  • Detail of any (Authorized) Hours Worked Off-Site (plus any Holiday / Personal days, as appropriate and if using Absolute Consulting timesheet)
  • Employee Signature and Date
  • Client/Supervisor Approval

Note: If a client requires the use of a site-specific timesheet that wasn’t provided or requests a different Absolute Consulting timesheet format, please contact Stacey Seiwert in the Corporate Human Resource Department.

Billable Hours:All billable work hours must be recorded in the top portion of the Absolute Consulting bi-weekly timesheet; this will ensure that all actual hours worked are represented in the two “Total” columns of the timesheet. Note: Holiday / Personal Days are not billable hours and should not be recorded in this section.

Holiday / Personal Days and Per Diem:In general, all employees who receive per diem allowances must work 40 hours of billable work time, per week, to be eligible for full weekly per diem.A pro-rated per diem will be paid to employees who work less than 40 billable hours in any week. Note: Holiday / Personal Days are not billable hours and, therefore, are not reported in the total weekly work hours’ portion (top section) of timesheet. Employees should refer to their individual Employment Agreement for any possible variation of this policy.

Recording Holiday / Personal Days: Employees who are eligible for paid Holiday / Personal Days (as described in individual Employment Agreements) must record those hours in the “Paid Time Off” portion of the Weekly Time Sheet. This section should include a description for the hours, such as “Holiday.”

Overtime Hours: Overtime is considered to be billable work hours above 40 (excludes holiday / personal hours). All employees eligible for overtime pay (in accordance with their specific Employment Agreement) must have client approval before working any overtime hours.

Recording Overtime Hours:Any work hours above 40 should be reported in the “Overtime” row within the top portion of the timesheet. Note: Holiday / Personal hours are not considered billable hours and, therefore, are not counted in weekly hours worked.

Completed and approved timesheets must be submitted to the Finance Department at Absolute Consulting no later than 11 a.m. CT / noon ET each Monday.

Expense Reports

Some assignments will allow for mobilization / demobilization reimbursement. As appropriate, details of this benefit will be outlined in each individual Employment Agreement and a blank Expense Report form will be provided, as appropriate. Completed expense reports, and copies of receipts, should be faxed to the Finance Department at 954.239.1893 or scanned and sent to Payroll@ConsultAbsolute.com. Payment of approved expenses will be included in the following payroll period.

Pay Schedule

Payroll funds are dispersed, through direct deposit, on Friday of each pay period. Details related to the first pay cycle of a new assignment are provided in each employee’s “Welcome” letter. This document is a standard part of all employment packages and includes important information regarding timesheets, payroll, site contact information and more.

Pay Stubs and Electronic Access to Earnings Information

Absolute Consulting offers each employee direct access to their earnings information via a website portal. This portal is called Web Employee and it is private, personalized and secure. The data listed on Web Employee is automatically encrypted so it is safe as it travels over the Internet.

Immediately following the release of an employee’s first pay check, one of our Payroll Specialists will contact you to answer questions and help with electronic access to Web Employee. After Web Employee registration is complete, employees will have quick and easy access to payroll information. Additional advantages of Web Employee include the ability to (1) access earnings information from any where computer and Internet access is available, (2) to make changes to W-4 information on file and (3) review and print year-end W2 documents. NOTE: W2 documents are available no later than January 31 of each year and remain available on Web Employee for six months.

Finally, it is critical that the Payroll Department has the most current and accurate employee contact information, the dates employees are away from the work site, and the last day worked on an assignment. Without this information, errors in calculating payroll are more likely to occur. The Finance Department makes it a top priority to get payroll processed correctly the first time. Therefore, employee involvement is important and appreciated.
